Who we are

Voxletic is operated by DestiLabs OU, an Estonian company (registry code 17306401) with its registered address at Sepapaja tn 6, 15551 Tallinn, Estonia. DestiLabs OU is the data controller for the personal data described in this policy.

Analytics and cookies

By default we measure visits anonymously, without cookies: our PostHog analytics (hosted in the EU) runs in cookieless mode, sets no identifiers on your device, and does not store your IP address. If your browser sends a Do Not Track signal, we do not run PostHog at all.

If you accept the cookie banner, we additionally enable cookies and session recording in PostHog to understand visits in more detail. Declining keeps you on the anonymous, cookieless measurement only.

We also use Google Analytics to measure site traffic, the Meta Pixel to measure advertising performance, and Ahrefs Analytics, a cookieless web analytics service.

Report access form

When you request access to one of our research reports, we collect your full name, work email address and clinic website. We store these in our database and use them to give you access to the report and, if you agreed, to send occasional updates about Voxletic. Every update email includes an unsubscribe link, and you can withdraw consent at any time.

Booking a call

If you book a call through the scheduling widget on our contact page, your booking details are processed by Calendly under its own privacy policy, and shared with us so we can hold the meeting.

Demo calls

If you try a Voxletic demo call, we record the call audio and produce a transcript only after you give explicit consent in the demo flow. Demo calls are processed by the providers that power our voice platform: LiveKit (call infrastructure), Twilio (telephony), Deepgram (speech to text), Google (language models) and ElevenLabs (speech synthesis). Recordings and transcripts are stored in Google Cloud Storage and used to run and improve the demo experience.

Legal bases

• Consent: optional analytics cookies and session recording, marketing updates, demo call recordings.
• Legitimate interest: anonymous cookieless measurement of site traffic, and protecting the service from abuse.
• Steps prior to a contract: responding when you book a call or request a demo.

Data retention

We keep lead details until you ask us to delete them or object to further contact. Demo call recordings and transcripts are kept for as long as needed to evaluate and improve the demo. Anonymous analytics contain no personal data.

Who we share data with

We do not sell personal data. We share it only with the service providers named above and with our hosting providers: DigitalOcean (application hosting and database), Vercel (website hosting) and Google Cloud (storage). Some providers process data outside the European Economic Area, in particular in the United States; where they do, transfers rely on the EU-US Data Privacy Framework or standard contractual clauses.

Your rights

Under the GDPR you can request access to, correction of, or deletion of your personal data; ask for a copy in a portable format; object to processing based on legitimate interest; and withdraw consent at any time without affecting past processing. Write to [email protected] and we will respond within one month.

You can also lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or your local supervisory authority.

Changes to this policy

If we change how we handle personal data, we will update this page and its date. Significant changes will be highlighted on the site.
